PTA Board and Chair Positions 

Overview 

Our PTA is only possible because of our wonderful volunteers! We have opportunities to fit a wide variety of interests and time commitments. This document lists all of our Board and Chair positions. We have three types of volunteer roles: 

  • Board Positions: These leadership positions oversee the activities and budget of the PTA. Responsible for helping PTA with strategy and project management of PTA activities. The VPs oversee the activities of the Chairs in their area. These positions are documented in the PTA by-laws.
  • Chair Positions: These positions are for those who lead our programs and events (examples include the Book Fair or Spirit Nights). OPEN POSITIONS LISTED BELOW!
  • General Volunteers: These are both one-off and regular positions for helping with specific projects. Examples include: sorting food during a food drive, putting together raffle baskets, serving food during a staff appreciation lunch, and more. Click here for information on general volunteers.  

Training is provided for all positions. We are committed to helping you succeed in your service to our school!

 

Requirements of Chair and Board positions 

  • Must be a PTA member and registered WCPSS volunteer 
  • Term runs July 1 to June 30 
  • Must sign the PTA Code of Ethics 
  • Board members must follow the NC PTA By-Laws

Board Positions 

Note: VP positions are not expected to take part in the programs they oversee. Rather, they are a point-of-contact and raise visibility of the programs under them to the Board. They should help make sure projects keep within their budgets and timelines.

 

Position Description

President

Sarah Fournier

  • Required in by-laws; term limited to 2 years

  • Oversees and coordinates the work of the executive board

  • Official contact, communicator, and representative of the PTA

  • Authorized signer for PTA checks, contracts and authorizations for payment

  • Ex-officio member of all committees except the nominating committee

Secretary

Jen Kitchens

  • Required in by-laws; term limited to 2 years

  • Creates meeting agendas and minutes

  • Collects and summaries committee reports

  • Collects signed Code of Ethics Forms

  • Maintains current roster of Board members and Chairs 

Treasurer

Amanda Barefoot

  • Required in by-laws; term limited to 2 years 

  • Manages banking, check writing, taxes, and deposits

  • Prepares monthly reports

  • Tracks all financial transactions in our accounting software

  • Tracks all financial transactions in our accounting software. Needs a laptop or desktop computer and printer. A smart phone or tablet is not sufficient.

VP of Student & School Experience
  • Focuses on enhancing student life, school culture, educational enrichment and staff appreciation 
  • Oversees the work of the following programs: 5th Grade EOY Celebrations, Art to Remember, Celebration Books, Character Education, Cultural Arts, Doggie Depot, Huskies on the Run, Husky Book Battle, Kindergarten + New Families Kickoff, Math Olympiad, Reflections + Art Enrichment, Room Parent Coordinator, Science Olympiad, Staff Appreciation, Wellness Programs, Yearbook.
  • Term limit of 2 years
VP of Community Service & Engagement
  • Focuses on community engagement + service, family involvement, communications, events, fundraising and branding
  • Oversees the work of the following programs: Book Fair, Corporate Sponsorships, Fall + Spring Fundraisers, Family Nights, Graphics + Flyers, Grounds + Beautification, Membership, Nourishing Noggins, PTA Newsletter, Service Projects, Social Media, Spirit Nights, Spirit Wear, Volunteer Appreciation, Web Site Maintenance.
  • Term limit of 2 years

 

Audit Committee
  • Required in by-laws; term limited to 2 years
  • Team of 3 detail-oriented people
    • Jul - Dec auditor: Jordan Fallon
    • Jan - June auditor: Kyle Greer
    • Year end auditor: OPEN!
  • Jul - Dec and Jan - June auditors perform monthly reconciliation of bank statement (takes about an hour a month)
  • Year end auditor performs an annual audit of our financial records (takes about two hours)
  • Checks financial documentation of major projects like the book fair
  • Does not have access to the bank account or check writing  
Nominating Committee
  • Team of at least 3 members (2 Board members, the rest non-Board members)
  • Cannot include Principal or PTA President
  • Responsible for finding motivated and responsible PTA Board members and Chairs for the next school year (to be approved by the General Membership)
  • Active March to May

Advocacy Committee
  • Keeps the PTA informed about education legislation and advocates for student-focused policies, ensuring families have a voice in shaping educational outcomes.
  • Members: OPEN!
 

Chair Positions

Chairs are responsible for planning and implementing their programs. They are allocated a budget and accountable to stay within that financial allotment. Some projects are large, like the Book Fair, and require a staff of volunteers to work with the project chair. Other programs are much smaller in scope. It is recommended all programs, especially the larger ones, have at least two chairs.

Celebration Books Lauren Deisendroth Throughout the school year
  • Coordinates all aspects of our Celebration Books program, in which families can donate a book to our Media Center to celebrate a special milestone for their Husky
  • Responsible for evangelizing the program through flyers in folders, emails to teachers, inclusion in Principal & PTA newsletters

Character Education

  • This position brings exciting programming to the school by scheduling one fall and one spring event for the students, like a musician or visiting author
  • The chair may assist with the event setup or cleanup
  • Artists, authors, and performers are selected from a provided list (the chair doesn't need to search out talent)

Doggie Depot OPEN! Sept-May, pop up store 1-2x a month
  • Leads the annual fundraising pop up shop benefiting 5th-grade graduation celebrations, bringing together families and community members to support memorable student experiences

  • In partnership with the Media specialist, coordinate procurement of supplies for Husky Book Battle club

  • Plan & execute an hour-long drop in morning event the 2nd week of school to welcome new families to HDES
