PTA Board and Chair Positions

See descriptions below to learn more about our current open positions. Some may require a few hours of your time, some are mostly or entirely remote, and all of them help us give our students and staff the best possible experience at HDE.

Overview 

Our PTA is only possible because of our wonderful volunteers! We have opportunities to fit a wide variety of interests and time commitments. This document lists all of our Board and Chair positions. We have three types of volunteer roles: 

  • General Volunteers: These are both one-off and regular positions for helping with specific projects. Examples include: sorting food during a food drive, putting together raffle baskets, serving food during a staff appreciation lunch, and more. Click here for information on general volunteers.  

  • Chairs: These positions are for those who lead our programs and events (examples include the Book Fair or Spirit Nights).  

  • Board: These leadership positions oversee the activities and budget of the PTA and help us with our strategy and project management of PTA activities. The VPs oversee the activities of the Chairs in their area. These positions are documented in the PTA by-laws.

Training is provided for all positions. 

Requirements of Chair and Board positions 

  • Must be a PTA member and registered WCPSS volunteer 
  • Term runs July 1 to June 30 
  • Must sign the PTA Code of Ethics 
  • Board members must follow the NC PTA By-Laws  

Position Descriptions  

Board Positions 

Note: VP positions are not expected to take part in the programs they oversee. Rather, they are a point-of-contact and raise visibility of the programs under them to the Board. They should help make sure projects keep within their budgets and are on time.

 

Position Description
President
  • Required in by-laws; term limited to 2 years

  • Oversees and coordinates the work of the executive board

  • Official contact, communicator, and representative of the PTA

  • Authorized signer for PTA checks, contracts and authorizations for payment

  • Ex-officio member of all committees except the nominating committee

Secretary
  • Required in by-laws; term limited to 2 years

  • Creates meeting agendas and minutes

  • Collects and summaries committee reports

  • Collects signed Code of Ethics Forms

  • Maintains current roster of Board members and Chairs 
Treasurer 
  • Required in by-laws; term limited to 2 years 

  • Manages banking, check writing, taxes, and deposits

  • Prepares monthly reports

  • Tracks all financial transactions in our accounting software

  • Tracks all financial transactions in our accounting software. Needs a laptop or desktop computer and printer. A smart phone or tablet is not sufficient.

Audit Team
  • Required in by-laws; term limited to 2 years
  • Team of 3 people
  • Performs an annual audit of our financial records (takes about an hour)
  • Performs monthly reconciliation of bank statement (takes about an hour a month)
  • Checks financial documentation of major projects like the book fair
  • Must be detail oriented
  • Does NOT have access to the bank account nor check writing  

 

VP of Membership Services
  • This position is responsible for care of our members and staff/teachers
  • This VP Oversees the workings of the following programs: Grounds Beautification, Kindergarten and New Family Kickoff, Membership, Service Projects, and Staff Appreciation
  • Term limit of 2 years

 

VP of Programs
  • Oversees the workings of the following programs: Celebration Books, Cultural Arts, 5th Grade Reception, Reflections, and Wellness.
  • Term limit of 2 years

 

VP of Volunteer Services
  • This position is responsible for keeping our volunteers organized and showing them how much we appreciate them
  • Maintains a list of volunteers
  • Runs volunteer appreciation through the year or one event at the end of the year
  • Coordinates maintenance of the visitor badging system (going away Fall 2023)
  • Updates teacher of the year, IA of the year, and volunteer of the year plaques 
  • Oversees the workings of the following programs: PE Programs, Huskies on the Run, Nourishing Noggins, Picture Day, Room Parent Coordinator and Yearbook 
  • Term limit of 2 years
VP of Ways and Means 
  • This position empowers the PTA by making sure we are funded to do all of our wonderful work! 
  • This VP oversees the workings of the following programs: Art to Remember, Book Fair, Fall Fundraiser, Spirit Night, Donor/Vendor Coordinator, School Supplies, and Spring Carnival
  • Term limit of 2 years  
At Large Advocacy
  • This position connects us to our community by informing our PTA members about education issues and NC PTA legislative goals
  • Attends district meetings for advocacy chairs; reports learnings back to the Board and shares information in the PTA newsletter. The meetings for the upcoming school are are:

9/18/23 - Highcroft Drive ES
12/11/23 - Scotts Ridge ES
02/12/24 - Oakview ES
04/22/24 - Wood Creek ES (Baucom) 

At Large Communications and Newsletter Editor 
  • This position shares our great work and programs with our membership and school community by posting updates to social media, updating the PTA web site, and editing our weekly email newsletter 

 

Strategic Communications and Marketing
  • Assists Chairs and Board members by creating engaging content such as newsletter blurbs, promotional videos, project social media schedules, and social posts 
Nominating Committee
  •  A team of at least 3 members (2 Board members and the rest non-Board members; cannot be the Principal or President) 
  • Responsible for finding motivated and responsible PTA Board members and Chairs for the next school year (to be approved by the General Membership)
  • Runs March to May  

Chair Positions

Chairs are responsible for planning and implementing their programs and staying within budget. Some projects are large, like the Book Fair, and require a staff of volunteers to work with the project chair. Other programs are much smaller in scope. It is recommended all programs, especially larger ones, have two chairs.

Ways and Means

Fall (Chair can select month)

  • Organize student art work to be submitted to Art to Remember company for reproduction on various products
  • Compile orders and distribute products
 
Book Fair Ways and Means Oct/Nov and April/May
  • If you ever dreamed of running your own bookstore, this is the project for you! The chairs run our annual fall book fair and typically a smaller book fair during spring carnival  
  • Brings happiness to our students, teachers, and media specialist with all the new books they receive
Celebration Books Programs Aug/Sept and May 
  • Coordinates all aspects of our Celebration Books program, in which families can donate a book to our Media Center to celebrate a special milestone, like their child starting kindergarten
  • This is typically done at the beginning and end of the school year
Cultural Arts Programs Aug/Sept
  • This position brings exciting programming to the school by scheduling one fall and one spring event for the students, like a musician or visiting author
  • The chair may assist with the event setup or cleanup
  • Artists, authors, and performers are selected from a provided list (the chair doesn't need to search out talent) 
Fall Fundraiser Ways and Means Aug-Nov
  • Project manage a fundraiser for a specific need for the school selected by the principal (like updating outdated technology)
  • Chair has flexibility to select the type of event (collect funds, no fuss, coin craze, raffle, fun run, etc.) 
Field Day Volunteer Services May/June
  • Work with health/gym teachers to plan and execute field days for our students 
Fifth Grade Reception Programs May/June
  • Several 4th grade room parents who provide snacks and treats during the 5th grade reception/picnic (funded by PTA budget)
Grounds and Beautification Membership and Services Aug-June
  • This chair helps keep our campus looking beautiful by planting and watering seasonal flowers at entrance, scheduling mulching, and overseeing our grounds vendor 
Huskies on the Run Volunteer Services  Fall and Spring
  •  This chair coordinates the Huskies on the Run program that typically happens twice a year -- once in the fall and once in the spring 
 Kindergarten and New Families Kickoff Membership and Services  Aug/Sept  
  • Plan and execute an hour-long drop in morning event the 2nd week of school to welcome new families to HDES
  • Planning includes decorations and food funded by the PTA
  • Guest speakers include the PTA President, Principal, and School Counselors
 Membership Membership and Services  Aug-June
  • Run membership promotion in August and September
  • Prepare monthly membership reports for reporting to Wake County PTA
  • Largest time commitment is in August and September 
 
Nourishing Noggins  Volunteer Services Aug-June
  • Run our PTA food pantry program including hosting food drives and packing food bags weekly (chairs do not have to do all the work themselves, but at least coordinate it)
Picture Days Volunteer Services Fall and Spring
  • Coordinate volunteers to help with one fall and one spring picture taking event (make Signup Genius and advertise on social media and our newsletter)
Service Projects Membership and Services Nov/Dec and other months selected by chairs  
  • Work with school counselors on Snow Angels, a program for collecting December gifts for HDES families in need
  • Plan 1 or 2 more service projects, like collecting birthday bags for Hunter Elementary, hurricane relief, book drive, etc. 
School Supply Kits Ways and Means May -Sept
  • Coordinate marketing of school supply kits (families are able to purchase HDES supplies through our vendor)
  • Point-of-contact for school supply kits for the school
Spirit Days Ways and Means Quarterly 
  • Spirits Days are when local businesses give us a donation for sending HDES families their way (% of sales) 
  • Plan and schedule quarterly spirit days/nights at local restaurants and grocery stores. 
  • Many local business and chains have spirit night programs already  
Spirit Wear Ways and Means July-June
  • Run our Husky fashion boutique. Select, stock, and sell spirit wear throughout the year
  • Spirit wear is sold during open house, curriculum night, and online (it can also be sold during the Kindergarten/New Family Kickoff)
Spring Carnival Ways and Means Dec-May
  • Run our fun spring fundraiser, typically held in May
  • The carnival includes food, games, and our famous basket raffle
  • Chairs have the fun of selecting the annual theme
 Staff Appreciation   Membership and Services  Aug-June
  •  Coordinate appreciation for staff, bus drivers, teachers, janitors, and other school employees throughout the year (example catering in lunch on a teacher workday) 
  • Coordinate activities for Teacher Appreciation Week 
STEM Program Programs Early Winter
  • Plan a STEM event or guest speaker for the school; chairs have the flexibility to propose a project to the Principal/Board 
Reflections and Art Assistance Programs Aug-Nov
  • Promote and run the national PTA Reflections art contest at HDES
  • Help the art teacher as desired 
Room Parent Coordinator  Volunteer Services Aug-June
  • Collect and maintain roster of Room Parents
  • Forward PTA communications to Room Parents
  • Collect and maintain teacher/staff preference sheets 
Vendor Services Coordinator Ways and Means As needed
  • Maintain a list of donors and potential donors for use by project chairs; ensure we are not duplicating requests
  • Aid project chairs in showing our donors gratitude (make sure they get donation receipts, promised marketing, and proper thanks)
  • Not responsible for cold calling potential donors
Wellness Programs Sept and March
  • Chair Walk to School Day for HDES
  • Optional spring wellness activity/event 
  • Flexibility to propose wellness improvement ideas to the Board (like healthy treat recommendations)
